By completing an order and booking your space at a wedding fayre, you fully understand and agree to be bound by these Terms and Conditions. Your Booking Form along with the agreed Terms and Conditions form your Contract with Wedding Fayres Yorkshire.

Terms and Conditions for Wedding Fayres Yorkshire

By completing and electronically signing the Booking Form, you affirm and agree that you have read, fully understand, and agree to be bound by these Terms and Conditions. Your Booking Form along with the agreed Terms and Conditions forms your Contract with Wedding Fayres Yorkshire.

1. Definitions

  • “Booking Form” means the Organisers’ Booking Form attached to these Terms & Conditions.
  • “Contract” means the Booking Form and these Terms and Conditions.
  • “Exhibitor” means the person, firm, or company agreeing to take a stand at the Exhibition under the Contract.
  • “Fayre” means the venue where the Exhibition will take place.
  • “Organiser,” “We,” “Us” means Wedding Fayres Yorkshire (a subsidiary of Johnson & Saunders Ltd).

2. Applications and Booking

To book an exhibition space, please complete the Contract and send a non-refundable deposit of £50. Once we have received your payment and booking form, we will confirm your booking in writing.

  • A minimum deposit of £50 is required to secure the booking, with the final balance due 31 days prior to the event. If paying by credit or debit card online, the remaining balance will be automatically charged through our payment partner, Stripe.
  • For bookings made within 31 days of the event, full payment is required at the time of booking.

The Organisers reserve the right to accept or refuse any application without disclosing a reason.

3. Payments and Cancellations

  • Deposit and Balance: A non-refundable £50 deposit is required for each booking. The deposit is not transferable to another event. The final balance must be paid no later than 31 days prior to the event.
  • Automatic Payments: If paying by card, the remaining balance will be automatically taken by our payment partner, Stripe, when due.
  • Full Payment for Short Notice Bookings: If booking within 30 days of the event, full payment is required at the time of booking.
  • Cancellations:
    • Before 31 Days: If you cancel your booking more than 31 days prior to the event, your deposit will be retained, but no further payment will be required.
    • Within 31 Days: If you cancel within 31 days of the event, no refund will be given, and any outstanding balance remains due.
    • Written Notice: Cancellations must be made in writing to sales@weddingfayresyorkshire.com. We will acknowledge your cancellation within 3-5 working days.
    • Non-Transferable: The deposit or balance cannot be transferred to another event.

In the unlikely event that a booked fayre is postponed or cancelled due to force majeure, we will make every effort to offer an alternative space at a future fayre.

4. Big Wedding Shows – Power and Safety Requirements

For our BIG Wedding Shows, if you require power for your stand and have paid for the electricity supply, you must provide:

  • A valid PAT testing certificate.
  • A copy of your Public Liability Insurance.
  • If you are bringing large, heavy, or bulky items, a Risk Assessment and/or Method Statement will be required.

These documents must be provided no later than 7 days before the exhibition. You will receive a reminder prior to the event.

5. Stand Allocations

  • Stands are allocated based on your preferences, but we reserve the right to make changes as necessary for the overall benefit of the event.
  • If the stand is not occupied by the Exhibitor 20 minutes before the event opens, we may reallocate the space without issuing a refund. Late arrivals may not be guaranteed a stand.
  • Each Exhibitor will be provided with a table, tablecloth, and electricity (if requested). Please bring an extension lead if you require power.

6. Exhibitor Conduct and Restrictions

Exhibitors may not promote any events or businesses that conflict with the fayre they are attending. Exhibitors who breach this rule may be asked to leave without a refund and may be prohibited from future events.

7. Alcohol

Venues are licensed premises, and exhibitors may not bring in alcoholic beverages for personal consumption. Exhibitors may bring alcohol for display purposes with prior written consent from the Organiser.

8. Arrival and Dismantling Procedures

Exhibitors may arrive up to 2 hours before the event to set up. The stand must be fully set up 15 minutes prior to the event opening. Stands may only be dismantled after the event’s advertised closing time. Early dismantling is not permitted without prior consent and may result in refusal to attend future events.

9. Health and Safety

Exhibitors are required to comply with health and safety regulations, including any venue-specific guidelines. Exhibitors providing food must have the relevant health and safety certifications. You are responsible for providing relevant documentation if requested.

10. Electrical Requirements

Power will be provided if requested, but availability cannot be guaranteed. All electrical equipment must be PAT tested. Exhibitors should bring their own extension leads and trip guards where necessary.

11. Insurance

Exhibitors are responsible for ensuring they have adequate public liability insurance. The Organisers are not liable for any injury, damage, or theft caused by an Exhibitor. Exhibitors must hold their own insurance and may be required to provide proof.

12. Goodie Bag Inserts

Once payment for goodie bag inserts has been received, it is the Exhibitor’s responsibility to ensure inserts arrive no later than 7 days before the event. Inserts promoting more than one business will not be accepted unless previously agreed. Late inserts will not be distributed, and no refunds will be issued.

13. Data Protection

We comply with the Data Protection Act 1998. Any data we provide to you must be used only for the purposes stated. We will not share your data with third parties without your consent.

14. Amendments

We reserve the right to amend these Terms and Conditions at any time. Any changes will not affect the validity of the original Contract.
